1. Who we are
This policy covers Harlequin Greyhound Sales (harlequingreyhoundsales.co.uk), operated by [HARLEQUIN LEGAL ENTITY NAME], [REGISTERED ADDRESS] ("Harlequin", "we", "us"). We follow UK GDPR: we only use your data lawfully and transparently, for the specific purpose it was collected for, keep only what we need, keep it accurate, don't hold it longer than necessary, and keep it secure.
2. Browsing the site
You don't need an account to browse dog listings, and we don't run any visitor analytics or advertising/tracking cookies — we don't collect any personal data just from you visiting the site. The only cookie set for a browsing visitor is a strictly necessary session cookie (so, for example, a flash message can display after a page redirect).
3. If you create an account
Creating a buyer or seller account means we hold the name, email address, and (for sellers) phone number and bank/payout details you register with, plus your password in hashed (not plain-text) form. We use this to run your account, process orders or listings, and contact you about them — this is necessary to provide the service you've signed up for.
4. Orders, listings, offers & messages
We keep a record of orders you place or receive, dogs you list, offers you make or receive, and questions/answers or offer messages you submit, for as long as your account is active and afterwards for as long as we need to for accounting, tax, and legal record-keeping purposes (typically up to 6 years after a transaction). Public questions/answers and offer messages are automatically checked and blocked if they contain an email address or phone number, since all contact about a listing is meant to go through Harlequin rather than directly between buyer and seller.
5. Newsletter
If you choose to subscribe from the homepage, we hold your email address to send you newsletter updates about current listings. You can unsubscribe at any time via the link included in every newsletter email, which removes you from future sends immediately. We do not send any other marketing or cold-call emails, and we do not sign anyone up to the newsletter without them actively subscribing themselves.
6. Your rights
You have the right to:
- ask us what personal data we hold about you, and get a copy of it;
- ask us to correct anything that's inaccurate or out of date;
- ask us to delete your data, where we're not required to keep it for a legal reason (for example, financial records of a completed sale);
- ask us to restrict or object to certain uses of your data;
- unsubscribe from the newsletter at any time (see section 5); and
- complain to the UK Information Commissioner's Office (ico.org.uk) if you think we've mishandled your data.
